1. Overview

Agency Dispatch ("we," "our," or "us") operates at agencydispatch.com. This Privacy Policy explains how we collect, use, store, and share your information, including data obtained through integrations with Google and other third-party services. By using Agency Dispatch, you agree to the practices described in this policy.

2. Google API Services — Limited Use Disclosure

Agency Dispatch's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, information received from Google APIs is:

  • Used only to provide or improve features that are visible and prominent in Agency Dispatch's user interface, as requested by you.
  • Never used for advertising purposes, including retargeting or interest-based advertising.
  • Never transferred to third parties except as necessary to provide or improve the features you use, or as required by law.
  • Not used for any purpose other than what is described in this Privacy Policy.
  • Not read by humans unless you explicitly request support that requires access, or as required by applicable law.

3. Information We Collect

Information You Provide Directly

When you create an account, we collect your name, email address, and any profile information you choose to provide such as a photo or job title.

Google Account Data

When you connect your Google account, we request access to specific Google services. The following describes exactly what is accessed and why:

  • Basic Profile (name, email, profile picture): Used to identify your account and display your identity within the app.
  • Gmail (send on your behalf): Used solely to send invitation emails and project notification emails on your behalf when you use those features. We do not read, store, or analyze your Gmail inbox.
  • Google Drive: Used to let you import files from your Drive and attach them to deliverables and projects within the app. We access only files you explicitly select.
  • Google Calendar: Used to create, read, and update calendar events tied to project milestones and deliverables you manage in the app. We access only the calendar data needed to display and sync those events.
  • Google Docs and Google Sheets: Used to let you link and import documents from your Google Workspace into the app as project assets.

Figma

When you connect Figma, we access your Figma files and projects to allow you to attach designs to deliverables within the app.

Slack

When you connect Slack, we request permission to post messages to channels on your behalf, solely for delivering deliverable notifications and project updates that you configure.

Usage Data

We may collect information about how you interact with the app (pages visited, features used, error events) to improve performance and reliability. This data is aggregated and not linked to individual Google account data.

4. How We Access Google User Data

Google user data is accessed only when you actively use a feature that requires it:

  • Gmail is accessed when you initiate sending an invitation or notification email.
  • Google Drive is accessed when you open the Drive import picker and select a file.
  • Google Calendar is accessed when you view or edit calendar events linked to your projects.
  • Google Docs and Sheets are accessed when you select a document to attach to a project.

We do not run background scans of your Google data or access Google services outside of the actions described above.

5. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the features of the app that you use.
  • Perform actions on connected services (e.g., send emails via Gmail, import files from Google Drive) strictly as directed by you.
  • Display your profile, projects, and connected data within the app interface.
  • Communicate with you about your account, updates, or support requests.
  • Comply with applicable legal obligations.

We do not use Google user data for any secondary purpose, including advertising, profiling, or sale to third parties.

6. How We Store Google User Data

We store the minimum amount of Google user data necessary to provide the features you use:

  • OAuth tokens (used to authenticate API calls on your behalf) are encrypted at rest and transmitted only over HTTPS. We do not store your Google account password.
  • Files imported from Google Drive are stored in our secure cloud storage (Cloudflare R2) only when you explicitly choose to import them into a project.
  • Calendar event data associated with your projects is stored only to populate your in-app calendar view.
  • Your basic profile information (name, email, profile picture) is stored to identify your account.

All stored data is protected by access controls limiting access to authorized application processes and, where explicitly required for support, to authorized personnel subject to confidentiality obligations.

7. How We Share Your Information

We do not sell, rent, or trade your personal information or Google user data to any third party. We may share data only in these limited circumstances:

  • Service providers: We use third-party vendors to help operate the platform (e.g., cloud infrastructure, database hosting). These providers access only the data necessary to perform their functions and are bound by data processing agreements.
  • Within your organization: If you are an agency user, project data (including files you import) is visible to other agency team members you invite. If you are a client user, your data is visible to the agency that invited you. Google account data itself is not shared with other users.
  • Legal requirements: We may disclose information if required by law, court order, or other valid legal process, or when necessary to protect our legal rights or prevent harm.

8. Data Retention and Deletion

We retain your data for as long as your account is active or as needed to provide you with our services. When your account is deleted:

  • Your user profile and login credentials are permanently deleted.
  • All stored OAuth tokens for connected services are revoked and deleted.
  • Files, project data, and calendar data associated solely with your account are deleted.
  • Backups containing your data are purged on a rolling 30-day schedule.

To request deletion of your account and all associated data, please visit our Data Deletion page or email us at support@agencydispatch.com. We will process deletion requests within 30 days.

You may revoke Google account access at any time from your Account settings page within the app, or directly from myaccount.google.com/permissions. Revoking access invalidates our stored OAuth tokens immediately.

9. Third-Party Services

Our use of Google APIs is subject to the Google API Services User Data Policy. Your use of Google services when connected to Agency Dispatch is also governed by Google's Privacy Policy. Agency Dispatch is not affiliated with or endorsed by Google LLC.

10. Security

We implement industry-standard security measures to protect your information, including encrypted storage of OAuth tokens, encrypted data at rest, and HTTPS for all data transmission. Access to stored Google user data is restricted to authorized application processes. No transmission method is 100% secure; we cannot guarantee absolute security, but we take reasonable steps to protect your data and will notify you of any breach affecting your information as required by applicable law.

11. Children's Privacy

Agency Dispatch is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that a child under 13 has provided us with personal information, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by posting the new policy on this page and updating the "Last updated" date. Continued use of the app after changes are posted constitutes your acceptance of the updated policy.

13. Contact Us

If you have questions or concerns about this Privacy Policy or our data practices, including requests to access, correct, or delete your data, please contact us at support@agencydispatch.com or visit our Contact page.
